Terms & Conditions
Welcome to hifitravels.co.nz (the "Website"). This Website is owned and operated by HIFI TRAVELS ..These Terms and Conditions set out how liability is handled across various booking scenarios and situations. Wherever "we," "us," or "our" appears, it refers to HiFi Travels, and these terms govern our relationship with clients who use our services. The content on our website is provided for general information purposes only.
By choosing to use our services, you are agreeing to be bound by these terms. We strongly encourage you to read through our full terms of use and policies before confirming any booking with us.
Passenger Responsibilities
Travellers are responsible for carrying valid and authentic travel documents, including any required entry or exit visas. Passports must remain valid for a minimum of six months beyond the travel date to ensure smooth identification at immigration checkpoints. We cannot accept responsibility for losses arising from a passenger's failure to meet these legal requirements; this remains entirely the traveller's own obligation. Passengers who do not satisfy documentation requirements may be denied boarding, and any resulting fines, penalties, or additional costs are the passenger's sole responsibility.
Accuracy of Personal Details
HiFi Travels cannot be held liable for issues arising from information submitted incorrectly by a passenger. It is the responsibility of the traveller, payer, or person making the booking to ensure all details provided are accurate and complete.
Passengers must ensure the name on their passport matches exactly what appears on their itinerary. Once tickets have been issued, any request to amend a name may attract additional charges. Please note that tickets are non-transferable, and full name changes are not permitted under any circumstances.
Travel Information Accuracy
Whether booking domestic or international travel, HiFi Travels is not responsible for losses that result from incorrect flight details, destination information, or travel dates supplied at the time of booking. Before ticket issuance, it is the payer's responsibility to thoroughly check and confirm all details provided to us.
Amending Your Booking
Changes to a booking can be made after ticket issuance, though these will incur additional charges. On top of any fare or tax adjustments and airline-imposed penalties, a per-ticket reissue fee will also apply. To avoid disruption to your travel plans, any requested changes must be communicated to us with at least 48 hours' notice on business days.
Payment and Pricing
Ticket prices offered by HiFi Travels remain subject to change until payment has been received in full from the traveller. Tickets will not be issued until full payment has cleared. Please be aware that fares and per-person pricing can fluctuate at the time of booking, and we are not obligated to notify passengers of such changes in advance it is your responsibility to stay informed of our current terms and services. Credit card payments will also attract a merchant surcharge. To ensure you receive the most current pricing and transfer information, we recommend staying in regular contact with our team.
Visa and Documentation Liability
If a passenger's travel documentation does not meet applicable entry requirements, HiFi Travels cannot guarantee that travel will proceed. Ensuring passports, visas, and re-entry permits are current and valid is entirely the traveller's responsibility. We accept no liability for fines or penalties imposed on a passenger as a result of non-compliance with regulatory requirements.
Passport Validity
To avoid complications or legal issues while travelling, we strongly recommend renewing your passport ahead of any international trip. Compliance with each destination country's specific travel laws and entry restrictions is the passenger's responsibility. Some countries may deny entry if your passport is due to expire within six months of your travel date, so it's essential to confirm your passport's validity well before departure.
Cancellation Charges & Conditions
Cancellations are subject to the terms and conditions set by the airline(s) involved in your booking. Once a booking is confirmed, cancelling any part of your itinerary will attract a minimum charge of NZD 150.00 per person, payable to HiFi Travels as our administrative cancellation fee, in addition to a consolidator fee (charged separately) and whatever cancellation charges the airline itself applies. These fees are not fixed they can differ based on the airline involved and the amount of work required to process your refund. Please note that infant fares can never be refunded under any circumstances, and both domestic tickets and those issued on budget/low-cost carriers are strictly non-refundable and cannot be changed once booked. Should your cancellation result from an airline-initiated schedule change or flight cancellation, the same NZD 150.00 per person fee applies, on top of any charges the airline imposes. Keep in mind that our fees, along with supplier costs, can increase depending on how complex the ticket is to process.
Please note that the majority of fares are non-refundable; however, exceptions may be considered on a case-by-case basis depending on the severity of the traveller's circumstances.
Refund Process & Timeframes
A full refund will only be issued by HiFi Travels once the corresponding funds have been recovered from the relevant airline or supplier. Processing times vary, but refund requests typically take 12 to 16 weeks from the date of submission. In some cases, factors outside our control may extend this timeframe further. We appreciate our clients' patience and cooperation while we work to resolve refund requests.
Deposit Terms
The deposit fee is non-refundable. If passengers wish to adjust the deposit fee, it can be adjusted within 30 days of the initial booking, for the same passenger only.
Booking Confirmation
Airlines reserve the right to cancel, reschedule, or otherwise modify tickets and flights at any time, without prior notice. As it is the passenger's responsibility to verify their tickets and flight schedules directly with the airline, HiFi Travels is not liable for confirming your travel details on your behalf. We recommend reconfirming your travel arrangements with the airline at least 72 hours before departure to avoid any last-minute issues.
Reviewing Your Tickets
Our team is always available to assist with any queries regarding your tickets or travel arrangements. That said, it remains your responsibility as a passenger to confirm receipt of your tickets ahead of departure, and to ensure all necessary travel documentation and legal requirements are in order. Taking these steps helps guarantee a smooth and trouble-free journey.
Credit Card Surcharges
Payments made by credit card will incur an additional surcharge. By choosing to pay via credit card, you agree to this surcharge and release HiFi Travels from any liability related to it. The surcharge is 2% for standard bank-issued Visa and Mastercard credit cards, and 4% for premium cards issued by select providers.
Note: We recommend keeping a copy of your flight itinerary and booking confirmation on hand in case of any discrepancies. Our customer service team is available to assist with any concerns.
